Auto-filing clinical faxes into SharePoint with Power Automate

Incoming faxes arrived by email and had to be saved and organized by hand, per department. A group mailbox plus one reusable flow now files them automatically.

The challenge

What needed fixing

Incoming faxes arrived by email and had to be saved and organized by hand, per department.

My approach

What I did, in order

  1. One group per department

    Routed cloud fax-to-email into Microsoft 365 Group mailboxes, one group per department.

  2. One flow that files the PDF

    Built a Power Automate flow that saves each fax PDF into that same group's SharePoint document library.

  3. Made it repeatable

    Turned the flow into a reusable template, then rolled it out to a new department (pediatrics) in a short time.

What changed

What I learned

Takeaway

A Microsoft 365 Group is one object: the mailbox and SharePoint site come together, so one group per department keeps permissions and automation simple.
